Best business phone systems for Canadian small businesses
This is how you pick up the shop number — desk set, app, or both. Teams Phone Standard prints CAD. TELUS leads at $25/month. Consumer Google Voice is US-only. Seat cards and 911 depth live on the VoIP page.
Last updated 7 September 2026. About 14 minutes. Research from public vendor docs and CRA pages — not a hands-on lab test.
A Smithville counter does not need another UCaaS price grid. It needs a shop number that rings a desk set, a cell, or both, and an honest line between a Canadian carrier seat and a US app. The seat cards and the long 911 footnotes already live on VoIP / business phone systems for Canadian small businesses. This page is the handset decision.
Five paths shops actually open: RingCentral (app + desk set; Canada cards still unlabelled), Dialpad (USD; app-first; SIP is not E911), Microsoft Teams Phone (CAD $13.60 add-on on a 365 seat), Google Voice (Workspace in Canada; consumer Voice is US-only), and TELUS Business Connect (official $25/month lead). Business phone-system prices checked against public vendor pages, 6 September 2026.
Who this page is for
- A sole prop who will answer on a phone app and does not want a $200 lobby phone.
- A two-desk shop that wants one 905 on the till set and the owner’s cell.
- A Microsoft 365 or Workspace shop asking whether Teams Phone or Google Voice is “already included.” It is not.
- Not a contact-centre RFP. Not a SIP-trunk bake-off. Not a hands-on desk-phone lab.
Snapshot (public pages, 6 September 2026)
How you pick up the shop number. Teams Phone Standard prints CAD. TELUS leads at $25/month. Consumer Google Voice is not a Canadian shop SKU. Seat-card depth is the VoIP page. Confirm live checkout.
RingCentral
- What you are actually buying
- A UCaaS seat that rings the mobile app and optional desk phones.
- Published price
- Core $30/user/month paid annually (monthly display $40). ringcentral.com/ca/en/office/plansandpricing.html prints $30 / $35 / $45 with no CAD or USD label on the plan cards retrieved 6 September 2026. A /ca/en/ path is not a proven CAD list. Confirm currency and tax at checkout. This page does not invent loonies.
- Desk phone / mobile / hybrid
- Official Canada TOS: mobile app hands 911 to the native cellular dialer and cannot send 911 over Wi-Fi. Desk phones are the lobby path.
- Canada / 911 honesty
- Canada Office TOS: RingCentral provides access to basic 911 or Enhanced 911 (E911). It works differently than traditional wireline. Some 911 calls route to a National Emergency Call Center (NECC); the operator asks name, location, and number. Register a physical address and update it when a device moves. Softphones that are not 911-enabled cannot place 911. The mobile app hands 911 to the native cellular dialer and cannot send 911 over Wi-Fi. Service fails on internet or power outage. 911 may not work from a number that is not Canadian or US.
Dialpad
- What you are actually buying
- An app-first phone system. Certified hardware yes; generic SIP is not E911.
- Published price
- Standard US$15/user/month on the annual toggle. dialpad.com/products/phone-system/ prints “USD $” on the plan cards.
- Desk phone / mobile / hybrid
- Official: mobile app hands 911 to the native dialer. Generic SIP devices do not support E911.
- Canada / 911 honesty
- Official Dialpad E911 help (updated 17 July 2026): Company Admins must provide an E911 location at signup. Physical address only; no PO boxes. Dialpad verifies an address when it is added or edited in the United States, Canada, France, or Australia. Dial 933 for a US/Canada address readback. 911 from the Dialpad mobile app is handed to the native cellular dialer. Generic SIP devices do not support E911. An E911 Regulatory Recovery Fee appears on the invoice.
Teams Phone
- What you are actually buying
- A Teams add-on. You still pay the Microsoft 365 CAD seat. PSTN is extra.
- Published price
- Official microsoft.com/en-ca additional-services and no-Teams pricing pages: Microsoft Teams Phone Standard CAD $13.60/user/month paid yearly, plus applicable tax. Official copy: add cloud-based phone services to Teams — make, receive, transfer, and transcribe calls. Eligible Microsoft 365 plan or Teams license required. This is not a PSTN minute bundle by itself.
- Desk phone / mobile / hybrid
- The handset is the Teams app on a laptop or phone, or a certified Teams desk phone. This page is the hybrid path if the shop already lives in Teams. A Meet link is still the video page, not a 905 line.
- Canada / 911 honesty
- Canada is a Calling Plan market on official Learn. Confirm Calling Plan CAD in the admin centre — not printed on this retrieve.
Google Voice
- What you are actually buying
- A Workspace add-on in Canada. Consumer / standalone local numbers are US-only.
- Published price
- Official en_ca: Starter US$10 / Standard US$20 / Premier US$30 per user/month. Pay-in-CAD still calculated in USD.
- Desk phone / mobile / hybrid
- Official Voice product: the line works on mobile, laptops, and supported desk phones (HP Poly plug-and-ring / ATA). Official: 911 emergency support is listed on the paid compare table. This is still not a landline.
- Canada / 911 honesty
- Official Compare Voice subscriptions: the free personal Google Voice product is a separate “basic features for personal use” track. Standalone Starter and Standard (personal @gmail.com) list local phone numbers as U.S. only. Official Voice setup help for consumers: “If you're in the US, you can choose your own number.” Do not treat consumer Google Voice as sold for a Canadian shop number.
TELUS Business Connect
- What you are actually buying
- A Canadian-carrier cloud phone. Desk set + app + cell on one number.
- Published price
- Official telus.com/en/business/small/phone/cloud-phone-plans (6 September 2026 retrieve): marketing lead “from just $25/month”; $5/month off each seat when bundled with a voice-capable Mobility plan, Secure Business, Fibre Internet, or Office Internet; $100 bill credit when you buy online. Promo copy: 3-year term, up to 250 seats, Enhanced or Complete for some promotional pricing. Confirm the live Voice Plus / Enhanced / Complete matrix — this retrieve printed $25/month as the lead, not a full unbundled table.
- Desk phone / mobile / hybrid
- Official legal on the same page: Single Number Reach for up to 4 devices. Business Connect calling requires an office Internet, Wi-Fi, or cellular data connection. Official: only available on your Business Connect number. That is desk phone + app + cell, not a PSTN landline that survives a power cut on its own.
- Canada / 911 honesty
- Canadian ILEC/VoIP seat. Official: needs Internet, Wi-Fi, or cellular data. CRTC 9-1-1 limits still apply. Not a copper pair.

RingCentral — the hybrid most shops already mean

Service fails on internet or power outage. 911 may not work from a number that is not Canadian or US. That is why a till phone on Wi-Fi is not your only 911 path. Use the desk set for the counter; keep the cell on cellular.

Dialpad — app-first, and SIP is not E911

Microsoft Teams Phone — CAD add-on, not a free 365 feature
Official microsoft.com/en-ca additional-services and no-Teams pricing pages: Microsoft Teams Phone Standard CAD $13.60/user/month paid yearly, plus applicable tax. Official copy: add cloud-based phone services to Teams — make, receive, transfer, and transcribe calls. Eligible Microsoft 365 plan or Teams license required. This is not a PSTN minute bundle by itself. Business Standard CAD $19.00/user/month paid yearly, plus applicable tax — microsoft.com/en-ca security SMB pricing (6 September 2026 retrieve) Microsoft’s Canadian cards move. A third-party “July 2026 revision” table is not this page. Confirm the live CAD widget before you budget a year of seats. Sources: Microsoft Teams Phone; Microsoft 365.
A shop already on Microsoft 365 still pays that CAD seat (Business Basic / Standard / Premium cards already cited on this site). Teams Phone Standard is an add-on. Official Learn: PSTN can be Microsoft Calling Plan, Operator Connect, Teams Phone Mobile, or Direct Routing. This retrieve did not print a Canadian Calling Plan CAD sticker — confirm the add-on in the Microsoft 365 admin centre. Do not invent a $17 USD Canada SKU from a US blog. The handset is the Teams app on a laptop or phone, or a certified Teams desk phone. This page is the hybrid path if the shop already lives in Teams. A Meet link is still the video page, not a 905 line. Source: https://learn.microsoft.com/en-ca/MicrosoftTeams/setting-up-your-phone-system.
Stay here if the shop already pays Microsoft 365 and lives in Teams. Do not assume Business Standard includes a 905 number. Suite math: Google Workspace vs Microsoft 365.

Google Voice — Workspace in Canada; consumer Voice is US-only
Official Compare Voice subscriptions: the free personal Google Voice product is a separate “basic features for personal use” track. Standalone Starter and Standard (personal @gmail.com) list local phone numbers as U.S. only. Official Voice setup help for consumers: “If you're in the US, you can choose your own number.” Do not treat consumer Google Voice as sold for a Canadian shop number. Official Google Voice and SIP Link supported countries: Canada is on the first-party list (with Belgium, Denmark, France, Germany, Ireland, Italy, Netherlands, Portugal, Spain, Sweden, Switzerland, the U.K., and the U.S.). Official 2020 Workspace Updates: Voice is generally available in Canada for Workspace customers, including +1 Canada numbers. Official en_ca Voice cards (6 September 2026): Starter US$10 / Standard US$20 / Premier US$30 per user per month. Source: Google Voice.
Official compare table: unlimited SMS is “only U.S. numbers can send to / U.S. only” on every paid SKU. Official en_ca feature table: “Unlimited text messaging in US.” Calls to Canada from a Canadian or US Google Voice number are included. That is not Interac and not a Canadian SMS blast. Official How Voice billing works: Workspace add-on payments can be in CAD, GBP, EUR, or USD, but charges are calculated in U.S. dollars — the CAD amount can move with the exchange rate even if seats stay the same. Standalone Starter is USD only. Google collects E911-related fees in the U.S. and Canada (and 988 in the U.S.) as a flat fee per Voice number per month depending on location. Official Voice product: the line works on mobile, laptops, and supported desk phones (HP Poly plug-and-ring / ATA). Official: 911 emergency support is listed on the paid compare table. This is still not a landline.
A free voice.google.com signup is not a Smithville shop number. Buy the Workspace add-on, or pick TELUS / RingCentral. Workspace seats: Google Workspace vs Microsoft 365.

TELUS Business Connect — the Canadian-carrier hybrid

Promo copy: 3-year term, up to 250 seats, Enhanced or Complete for some promotional pricing. Confirm the live Voice Plus / Enhanced / Complete matrix — this retrieve printed $25/month as the lead, not a full unbundled table. Source: TELUS Business Connect.
Official legal on the same page: Single Number Reach for up to 4 devices. Business Connect calling requires an office Internet, Wi-Fi, or cellular data connection. Official: only available on your Business Connect number. That is desk phone + app + cell, not a PSTN landline that survives a power cut on its own. TELUS is the Canadian-carrier seat on this page. A 3-year bundle is not a month-to-month UCaaS card. Eligibility is “determined by a TELUS representative.” This page will not invent an unbundled CAD matrix the plans retrieve hid.
Use TELUS if you already pay TELUS internet or mobility and want one bill in CAD. A 3-year bundle is not the month-to-month Dialpad card. Confirm 911 wording on the order — this retrieve did not print a TELUS E911 fee table.

When a mobile app is enough
- One person, one number, no lobby: Dialpad or RingCentral on the phone, or Teams Phone / Voice if you already pay the suite. Skip the desk set.
- A till that must look like a “real phone”: hybrid. TELUS Single Number Reach, RingCentral desk set, or a certified Teams / Poly Voice phone.
- Consumer Google Voice: not the Canadian shop path. Official standalone numbers are US-only.
- Need Nextiva or Vonage seat math, or the long 911 table: VoIP for Canadian small businesses.
A practical pick
- Already on Microsoft 365: add Teams Phone Standard at CAD $13.60, then confirm Calling Plan CAD in the admin centre.
- Already on Workspace and you accept USD-calculated billing: Google Voice Starter or Standard. Do not use consumer Voice.
- Already on TELUS internet or mobility: Business Connect from the $25/month lead. Confirm the 3-year bundle.
- Want one number on a cheap lobby phone and a cell, no suite add-on: RingCentral or Dialpad — then read the VoIP seat cards.
- The radio is still Wi-Fi. The meeting link is still video conferencing. Neither is a shop DID.
Buttons go to the vendor’s public site. If a link pays NorthOffice a commission, the price you pay does not change.

- Google Workspace vs Microsoft 365 for Canadian small businesses
Both suites print CAD. Workspace data regions are US, EU, or no preference — not Canada. Microsoft’s Canada pin is an add-on you verify in the admin centre, not a Business Standard default. Free Gmail is not a shop domain.
