Best file-sharing software for Canadian small businesses

Workspace and Microsoft 365 print CAD and already include Drive or OneDrive. Dropbox Transfer expires in 7 days on Basic. WeTransfer Free/Starter last up to 3 days. Sync markets Canadian residency. A 25 MB Gmail attachment is not a client portal.

Last updated 7 September 2026. About 14 minutes. Research from public vendor docs and CRA pages — not a hands-on lab test.

A Smithville shop does not need an enterprise file-transfer RFP. It needs a client-facing link that can die, an honest CAD or USD sticker, and a live project folder that stays yours. US “best file sharing 2026” lists skip the part that changes the bill: GST/HST on SaaS, 25 MB mail ceilings, and the fact that Google Workspace or Microsoft 365 may already include the share.

This comparison is five send paths shops actually open: Dropbox (Transfer on top of unlabelled-dollar plans; CAD is a supported checkout currency), Google Drive sharing (Gmail becomes a Drive link past 25 MB), Microsoft OneDrive / Microsoft SharePoint on a Microsoft 365 CAD seat, WeTransfer (honest one-off — no static CAD sticker on this retrieve), and Sync.com (Canadian-residency pitch; USD or CAD). File-sharing prices checked against public vendor pages, 6 September 2026.

Who this page is for

  • Trades, studios, and professional services that already email clients from Gmail, Outlook, Workspace, or Microsoft 365, and now need to send something larger than a 25 MB attachment without inventing a second filing system.
  • Anyone about to buy WeTransfer or Dropbox Transfer who already pays for Drive or OneDrive on a CAD suite seat.
  • A shop that wants the share itself on a Canadian-residency vendor and is looking at Sync.com — and needs the currency and PIPEDA honesty.
  • Not a hands-on lab. Not a PIPEDA legal opinion. Not a substitute for the live folder or last Tuesday’s restore.

Snapshot (public pages, 6 September 2026)

Columns are five send paths, not five identical products. Drive and OneDrive / SharePoint are features of accounts you may already pay for. WeTransfer is a transfer service. Dropbox and Sync.com sell storage that also shares.

Workspace and Microsoft 365 business cards print CAD. Consumer OneDrive / 365 Personal cards on official en-ca pages print CAD — confirm the widget. Dropbox dollars are unlabelled; CAD is a supported billing currency. Google One cards retrieved here have no CAD/USD label. Sync official help: USD and CAD only. WeTransfer: no static CAD or USD sticker on this retrieve.

Dropbox

What you are actually buying
Sync plus Transfer and shared links. Transfer is the send that is not the live folder.
Published software price
Basic (free): 2 GB, 1 person, up to 3 devices, 30-day restore / version history, shared links. Plus $9.99/month — 1 person, 2 TB, 30-day restore, transfers up to 50 GB. Standard $15/user/month — 1 person or more, starts at 3 TB for the team, 180-day restore, password-protect files, admin, branded sharing.
Currency honesty
dropbox.com/plans retrieved 6 September 2026 printed $9.99 / $15 / $24 with no CAD or USD label. Official help “Change the currency on your subscription”: CAD is a supported billing currency, set by the first billing address. Do not invent a CA$ Dropbox SKU from a blog conversion.
GST / HST on the SaaS bill
Official Dropbox help “How to calculate tax”: tax follows billing zip / country. Canada rows list GST, HST, PST, and QST by province (Ontario HST; Quebec GST+QST). Website prices are not a tax-included Canadian list. GST-registered teams can add a GST ID. Not tax advice.
Expiry on the send
Official same article: Basic, Family, and Plus transfers expire in 7 days. Standard and listed paid team SKUs: custom expiry, or 30 days if you do not set one. Expired transfers are deleted from Dropbox servers 30 days later on Basic / Plus / Family, or 180 days later on the listed paid team SKUs.
PIPEDA / residency (high-level)
The public plans page does not publish a Canadian data-region pin. A CAD checkout currency is not a Toronto rack.
When the free / mail path is enough
Basic (free): 2 GB, 1 person, up to 3 devices, 30-day restore / version history, shared links

Google Drive

What you are actually buying
Drive share. Personal Gmail becomes a Drive link past 25 MB.
Published software price
Every Google Account includes 15 GB across Drive, Gmail, and Photos on the official Google One plans page. Paid shop Drive: Business Starter CAD $11/user/month (flexible); Business Standard CAD $22/user/month (flexible).
Currency honesty
one.google.com/about/plans printed unlabelled $1.99 / $9.99 / $19.99. No CAD list on that retrieve. Do not invent loonies from a Canadian blog. workspace.google.com/intl/en_ca/business/ prints “All prices $CAD.” Do not paste the US Workspace USD table as Canadian.
GST / HST on the SaaS bill
Canadian billing address: Google calculates and charges tax from that address (GST, HST, PST, QST) unless you claim an exemption with a tax ID. You are contracting with Google LLC. Google LLC is registered for the simplified GST/HST regime (Excise Tax Act s. 211.11) and the simplified QST regime. Province on the invoice billing address sets the rate. Google does not advise on tax.
Expiry on the send
Official Drive Help “Share files from Google Drive”: Add expiration is available on eligible work or school accounts. Personal Gmail is not that row. Official Workspace Updates (5 November 2025): sharing expirations in the dialog are listed for Business Starter, Standard, and Plus (and listed Enterprise / Education SKUs).
PIPEDA / residency (high-level)
A Google Cloud Montréal region is not the same as a Workspace Business data-region pin. Do not promise a client that Gmail and Drive live in Canada because you bought Starter.
When the free / mail path is enough
Gmail personal 25 MB attach; larger files become a Drive link. Free Google Account is 15 GB across Drive, Gmail, and Photos.

OneDrive / SharePoint

What you are actually buying
OneDrive or SharePoint share. Outlook.com hits the same 25 MB attach cap.
Published software price
Official Microsoft Support “Microsoft storage quotas”: a free Microsoft account gets 5 GB of OneDrive cloud storage (and 15 GB Outlook.com mailbox). Not a shop file root. Microsoft 365 Personal CAD $115.00 — 1 TB OneDrive for one person on the same en-ca retrieve. Confirm checkout. Shop seat: Business Basic CAD $9.50/user/month paid yearly, plus applicable tax — microsoft.com/en-ca SharePoint business compare
Currency honesty
Canadian microsoft.com OneDrive / individuals pages print CAD. Microsoft widgets move. A US USD OneDrive card is not the Canadian invoice. Microsoft’s Canadian cards move. A third-party “July 2026 revision” table is not this page. Confirm the live CAD widget before you budget a year of seats.
GST / HST on the SaaS bill
Tax is determined by the business address, or the shipping address if it is different. North/Central/South America section: in Canada, various tax rates apply depending on the product and your location. Canada is listed as a Limited Risk Distributor market. Tax-exempt path: Certificate of Exemption (or equivalent) via a service request. Not tax advice.
Expiry on the send
Microsoft documents expiration dates on OneDrive and SharePoint sharing links in the share dialog (and tenant policy). Confirm the live share settings. This page does not invent a default number of days.
PIPEDA / residency (high-level)
Do not tell a client that Exchange, SharePoint, and OneDrive live in Toronto or Quebec because the shop bought Business Standard. Read the Data location card.
When the free / mail path is enough
Outlook.com 25 MB attach, or a 2 GB OneDrive-linked file. Free Microsoft account is 5 GB OneDrive.

WeTransfer

What you are actually buying
WeTransfer is a send-and-expire link, not a shop file root and not a backup. Recipients can download without an account. It is not Drive, OneDrive, or Sync.
Published software price
Official help points at wetransfer.com/pricing. This retrieve did not print a static CAD or USD sticker. Confirm the live widget. Do not invent a CA$ WeTransfer SKU from a blog.

GST / HST on the SaaS bill
Official WeTransfer VAT help is written for EU company VAT (Netherlands / Italy location, VIES). No Canadian GST/HST matrix was retrieved. Confirm tax at checkout. Not tax advice.
Expiry on the send
Official WeTransfer help “How long are transfers available to download?” (updated 29 May 2026): Free and Starter uploads can be kept online for up to 3 days. Ultimate: keep transfers active as long as you like. Availability is calculated from the moment the transfer is sent. Cancel or downgrade a paid subscription and active transfers are deleted 28 days later.
PIPEDA / residency (high-level)
Dutch company. Official pages used here do not pitch Canadian residency. A completed transfer is not a backup.
When the free / mail path is enough
Official WeTransfer help “Plan limits” (updated 30 May 2026): Free — up to 10 transfers or 3 GB total in any 30-day rolling window. Starter — up to 10 transfers or 300 GB in the same window. Ultimate — unlimited transfers up to 1 TB per transfer, custom expiration, password protection, branded pages, and Access Control. Teams adds shared workspaces. Enterprise is sales-quoted.

Sync.com

What you are actually buying
Zero-knowledge storage plus shared links. Clients do not count as users.
Published software price
Official cloud-storage marketing page: 5 GB free. Personal 150 GB prints $4/month after trial. Official sync.com/pricing/ (teams, 6 September 2026) headed “Save 50% off for 1 year.” Printed list / promo: Teams 1 TB $8 / $4 per user/month, or $6 / $3 billed annually, 3-user minimum. Teams 2 TB $12 / $6 monthly, $9 / $4.50 annual. Teams 10 TB $18 / $9 monthly, $15 / $7.50 annual. Treat the struck-through higher figure as list and the lower figure as the dated promo — confirm checkout.
Currency honesty
Official help “Why am I being billed in a different currency?”: Sync only bills in USD and CAD. Checkout currency follows the IP region. A VPN can flip CAD to USD. Confirm the currency on the checkout page. The public pricing cards retrieved 6 September 2026 did not print a CAD/USD label on the dollar amounts.
GST / HST on the SaaS bill
No official Sync GST/HST matrix was retrieved for this page. Confirm tax on the CAD or USD invoice. Not tax advice.
Expiry on the send
Official Sync help “How to manage shared link permissions”: Pro Solo and Pro Teams include expiry dates on shared links. When enabled, the link stays active until the date and time you set, then returns an error. Password-protected links and clients-not-as-users already sit on the official teams cards.
PIPEDA / residency (high-level)
Official sync.com/canadian-cloud-storage/: Sync markets Canadian data residency (“always stored right here in Canada”), CAD pricing, and “100% PIPEDA compliant.” Offices and data centres are claimed in Canada (Toronto on the GDPR policy). That is the vendor’s claim — not legal advice and not a substitute for how you handle client personal information.
When the free / mail path is enough
Official cloud-storage marketing page: 5 GB free. Personal 150 GB prints $4/month after trial. Clients and customers you share with do not count as users. Password-protected links and advanced share controls are on the teams cards. Custom branding starts on Teams 2 TB.

Use Dropbox when the team already lives there and you want Transfer without standing up WeTransfer. Skip it if the only send you need is already sitting in Google Drive or OneDrive, or if you were about to invent a CA$ Plus price from a US list.

Google Drive sharing — Gmail already does this at 25 MB

Stay on Drive if the firm is already on Workspace or a fat Google One plan and the client can live with a Google account prompt. OneDrive / SharePoint — the Microsoft 365 send

Official Microsoft Support “Sending limits in Outlook.com”: file attachment limit is 25 MB. Share from OneDrive instead; the OneDrive-linked file size limit on that page is 2 GB. Source: Outlook.com sending limits. Official Microsoft Support “Microsoft storage quotas”: a free Microsoft account gets 5 GB of OneDrive cloud storage (and 15 GB Outlook.com mailbox). WeTransfer — honest about being a transfer

WeTransfer is a send-and-expire link, not a shop file root and not a backup. Recipients can download without an account. It is not Drive, OneDrive, or Sync. Official WeTransfer help “Plan limits” (updated 30 May 2026): Free — up to 10 transfers or 3 GB total in any 30-day rolling window. Starter — up to 10 transfers or 300 GB in the same window. Sync.com — Canadian residency on the share itself

Official cloud-storage marketing page: 5 GB free. Personal 150 GB prints $4/month after trial. Official sync.com/pricing/ (teams, 6 September 2026) headed “Save 50% off for 1 year.” Printed list / promo: Teams 1 TB $8 / $4 per user/month, or $6 / $3 billed annually, 3-user minimum. Teams 2 TB $12 / $6 monthly, $9 / $4.50 annual. Teams 10 TB $18 / $9 monthly, $15 / $7.50 annual. When enabled, the link stays active until the date and time you set, then returns an error. Password-protected links and clients-not-as-users already sit on the official teams cards. Source: Sync shared-link permissions. That is the control Dropbox Transfer and WeTransfer Ultimate also sell, on a vendor that talks about Canadian residency instead of a US or EU default.

Pick Sync.com when the share should stay on that residency story — drawings, client records, anything you would rather not drop into a US consumer Drive. Confirm CAD vs USD at checkout (turn the VPN off first — official help says a tunnel can flip the currency). Skip it if the team already lives in Workspace or 365 and the send is a convenience link, not a custody decision. Do not treat “PIPEDA compliance” on the compare table as a legal opinion.

When free Drive or a 25 MB attachment is enough

  • The file is under 25 MB, or you are fine with the automatic Drive or OneDrive link Gmail and Outlook.com already create.
  • The client does not need a branded download page or a custom expiry date your current SKU does not expose.
  • You are not trying to keep the deliverable out of the live Shared drive or SharePoint library.
  • PIPEDA here is “don’t put payroll in a public link,” not “this file must sit in Canada.”

Move up when the package is routinely bigger than mail, when you need the link to die on a date you choose, or when the client should never see the rest of the folder. That is Transfer, WeTransfer, or Sync.com — not another 2 TB of consumer storage you will not organise.

A practical pick

  1. Already on Google Workspace or Microsoft 365, and the client can click a suite link: use Drive or OneDrive / SharePoint. Read expiry on your SKU before you promise the file will vanish. Seat math: Google Workspace vs Microsoft 365 in Canada.
  2. One-off, client should not get a folder: WeTransfer Free if 10 transfers or 3 GB in 30 days covers it and three days is enough; Dropbox Transfer if you already pay for Dropbox.
  3. The share itself should stay on a Canadian-residency vendor: Sync.com. Clients do not need seats. Confirm CAD at checkout. Treat the 50% teams banner as a dated promo.
  4. Team already lives in Dropbox: stay there and use Transfer. Do not add WeTransfer as a second habit.
  5. After the send works, put the live files on the cloud storage guide and the restore on the backup guide. The composer is still email clients for Canadian small businesses.

Buttons go to the vendor’s public site. If a link pays NorthOffice a commission, the price you pay does not change.
