Best mileage tracking apps for Canadian sole props

Canadian sole props do not need a US “standard mileage” app that pretends T2125 works like the IRS. They need a log CRA will recognize — date, destination, purpose, kilometres, odometer — and a clear split between two different CRA ideas: actual vehicle expenses on the T2125, and cents-per-kilometre allowances an employer pays an employee. Apps that multiply km by “the CRA rate” are doing the second job unless you keep receipts for the first.

What CRA actually wants (high level)
Official motor-vehicle records page: for each business trip log the date, destination, purpose, and kilometres. Record the odometer at the start and end of the fiscal period. Separate record per vehicle. CRA: the best evidence is an accurate logbook for the entire year. You can deduct motor vehicle expenses only when they are reasonable and you have receipts to support them. Official: CRA motor vehicle records.
After one complete year of a full logbook (the base year), CRA lets you keep a three-month sample logbook if usage stays within 10% of the base year. If it moves more than 10%, the sample is only good for those three months. Supporting records: six years from the end of the tax year they relate to. The full 12-month base-year logbook must be kept for six years from the end of the last tax year you use it to establish business use. Hub: CRA motor vehicle expenses.
Self-employed claims go through Chart A on Form T2125 (or the farming/fishing equivalents): business kilometres ÷ total kilometres × actual running costs. That is not “multiply kilometres by the CRA allowance rate.” CRA’s deductible-expenses page for line 9281 lists licence and registration, fuel and oil, electricity for zero-emission vehicles, insurance, interest on money borrowed to buy the vehicle, maintenance and repairs, and leasing. CRA’s published prescribed per-kilometre rates for a reasonable employee allowance in 2026 are $0.73 for the first 5,000 km and $0.67 after that in the provinces, and $0.77 / $0.71 in the territories. Those figures change by year. They are the employer-allowance table, not a T2125 shortcut. A per-kilometre payment to an employee may not be taxable if the rate is reasonable and the other CRA conditions are met. Confirm the live table before you write a 2027 rate into a contract. Who each option is actually for
- Spreadsheet — few trips, you will type them, you want something that works in a dead zone.
- Driversnote — you want a Canada URL, CAD list, bilingual-friendly .ca marketing, and 15 free reportable trips before you pay 16 CAD.
- MileIQ — you want the swipe-classify app and a printed C$ price, and 40 free drives is enough or you will pay Unlimited.
- QuickBooks Mileage — the books are already in QBO Canada. Do not buy a second tracker until the included log fails you.
- Everlance — you want mileage plus expenses in one US-priced app and will switch kilometres and the rate off the IRS default.

QuickBooks Mileage — already in the Canadian ledger
Intuit Canada markets mileage tracking inside the QuickBooks Online mobile app — automatic GPS logging or add a trip manually. It is not a separate public mileage SKU on the CA pricing page. Spreadsheet — still a logbook
A spreadsheet is $0 extra if you already pay for Microsoft 365 or use Google Sheets / LibreOffice. It is not automatic GPS. A sheet that records date, destination, purpose, trip kilometres, and start/end odometer can be a logbook. CRA does not require an app. It does require the fields and the receipts for the actual expenses you claim. Desktop Excel and a downloaded Sheet work without cell service. That is the honest offline option. Not a till. Columns that match CRA: date, destination, purpose, trip km, running business-km total, odometer start, odometer end, vehicle. Keep the fuel and insurance PDFs with the sheet — the app comparison above does not replace those receipts.
