A Smithville shop does not need an Exchange farm. It needs an inbox a client can reply to, a calendar next to that inbox, and an honest CAD sticker if you pay for a seat. US “best email client 2026” lists skip the part that changes the bill: GST/HST on Workspace or Microsoft 365, and the fact that free Gmail or Mail may already be enough.

This comparison is four paths shops actually open: Microsoft Outlook / Microsoft 365 (free Outlook.com, or a CAD seat), Gmail ($0 personal, or Workspace CAD), Apple Mail (free on Apple devices), and Thunderbird (free desktop, no SaaS line). Email-client prices checked against public vendor pages, 6 September 2026.

Official Workspace Admin help: IMAP and POP clients include Outlook, Apple Mail, and Thunderbird; admins can turn IMAP on or off. Mixed Windows/Mac shops should live in Outlook or Gmail, then open Mail only as a second window. Mail is a beautiful Apple client. It is not the Windows default and not the shop ESP. The calendar beside it is still calendar apps for Canadian small businesses.

When the suite already covers the inbox

  • You pay Workspace: Gmail is included. Do not buy Outlook for the same mailbox.
  • You pay Microsoft 365: Outlook is included. Web/mobile on Basic; desktop on Standard and Premium.
  • You are on free Gmail or Outlook.com: the composer is still $0. Buy a suite for the domain, not for one message.

When free Gmail or Mail is enough

  • One person, no custom domain: personal Gmail or Outlook.com.
  • Apple-only household, same job: Mail. Add Gmail with Sign in with Google if the client lives there.
  • Already in Outlook.com: the free inbox and 5 GB OneDrive.
  • Offline Windows or Linux and no monthly seat: Thunderbird over IMAP.
  • you@yourcompany.ca and an admin who can delete a seat: Workspace Starter or Microsoft 365 Business Basic — confirm the widget.
  • The “email” is really a newsletter: email marketing for Canadian small businesses.

A practical pick

  1. Already on Workspace: stay on Gmail. Open Thunderbird or Mail only as a second window on that seat.
  2. Already on Microsoft 365: stay on Outlook. Basic for the browser; Standard if you need desktop Outlook.
  3. Mac-only sole prop, Windows client once a quarter: Mail, then keep a Gmail or Outlook.com address the Windows side can open.
  4. Offline Windows or Linux and you do not want a seat: Thunderbird. Sign in with Google for Gmail.
