Google Workspace vs Microsoft 365 for Canadian small businesses

A Smithville sole prop does not need an enterprise identity RFP. They need a shop inbox on a custom domain, a place the bookkeeper can find the quote PDF, and a meeting link that is not a personal Gmail. “Just use Microsoft because we are a business” and “Google is free” are both incomplete.

Custom business email (you@your-company.com), Gmail, Calendar, Meet, Chat, Drive, Docs, Sheets, Slides, Forms, Sites. Starter is enough when you need the custom domain and a 100-person Meet. Standard is the recording and 2 TB step. Plus adds Vault / eDiscovery and 500-person Meet — most sole props do not need that card.

Custom business email (you@yourbusiness.com), web and mobile Word/Excel/PowerPoint/Outlook, Teams (on the with-Teams SKU), 1 TB cloud storage per user, up to 300 employees. Desktop Word, Excel, PowerPoint, and Outlook sit on Standard, not Basic. If the shop already lives in .docx and a Windows PC, Standard is the honest seat. Premium is the security stack (Defender for Business, Defender for Office 365, Intune P1, Entra ID, Purview information protection / DLP — listed on the Business Premium card) — not the first mailbox.

Canadian data residency — what the public docs actually say

Workspace. Official data-region options are United States, European Union (Europe in the Admin console), or No preference. Canada is not on that picker. Fundamental data regions (one org-wide at-rest policy): Business Standard and Business Plus. Business Starter is not listed as eligible. Enterprise data regions (OU/group policies): Frontline Plus, Enterprise Plus, or the Data Regions add-on. A Google Cloud Montréal region is not the same as a Workspace Business data-region pin. Do not promise a client that Gmail and Drive live in Canada because you bought Starter. Official: Choose a geographic location for your data; data region features by edition.

Microsoft 365. Microsoft 365 admin center → Settings → Org settings → Organization profile → Data location. That card shows Current Geography and Committed Geography for in-scope services. Canada is a Local Region Geography eligible for the Advanced Data Residency (ADR) add-on. ADR is not automatic on every Business Basic/Standard/Premium tenant. ADR purchase prerequisites include Microsoft 365 Business Basic, Standard, or Premium (including no-Teams SKUs), among enterprise SKUs. You still have to buy and assign ADR seats — the Business SKU alone is not the commitment. Without ADR, Product Terms residency, or an EU/EFTA default geography, Learn says Microsoft stores in-scope data where it best enables the service, and the card can show “No Commitment.” Location can change without notice in that case. Do not tell a client that Exchange, SharePoint, and OneDrive live in Toronto or Quebec because the shop bought Business Standard. Read the Data location card. Gmail vs Outlook, and what Exchange actually is

Workspace mail is Gmail with a custom domain and an Admin console you can take away when a contractor leaves. Microsoft mail on these Business plans is Exchange Online — still a custom domain, still an Admin centre, delivered through Outlook on the web, mobile, and (on Standard) the desktop app.

Outlook.com is the free consumer cousin. It is not a tenant, not a shared mailbox you revoke, and not the same product as Exchange on Business Basic. Personal Gmail is the same story on Google’s side. The paid line is the domain and the offboarding switch.

If the shop already lives in Outlook on every PC and sends .docx to lawyers, Microsoft is less friction. If the shop already lives in Docs, Sheets, and a Chromebook, Workspace is less friction. Switching suites later is a migration project, not a weekend toggle — Workspace Standard lists a Migrate tool; Microsoft has its own cutover docs. This page does not pretend either is one-click.

Meet vs Teams

Meet: Starter 100 participants; Standard recording, noise cancellation, 150 participants; Plus attendance tracking, 500 participants. Starter is “join the call.” Standard is “record the call.” Plus is “track who showed up.”

Microsoft’s with-Teams Business cards include chat, calls, and meetings. Persistent team channels, SharePoint-backed files, and the rest of the Teams habit are why shops that already run Windows stay on Microsoft. If you only need a link for a 20-minute client call, Meet on Starter or Teams on Basic is the same job. If you need no Microsoft meeting SKU, buy the no-Teams card and keep Zoom — do not pay twice for the same grid.

Drive vs OneDrive

Workspace storage is pooled across the organization: 30 GB per Starter user adds up slowly; Standard’s 2 TB per user is the first plan that feels like a shop file root. Shared drives are the admin-owned folders. OneDrive on the Microsoft Business cards used here is 1 TB per user; SharePoint is where the team library should live so it does not walk out with a personal OneDrive.

Neither Drive nor OneDrive is a receipt scanner or a CRA imaging policy. Neither is the website host. Dumping the brochure site into Drive and pointing a .ca at it is not Canadian web hosting.

When free Gmail or Outlook.com is enough

• You are one person. Clients already email the Gmail or Outlook.com you have used for years.
• You do not need a custom domain on the From: line yet.
• Nobody else needs admin access, and there is no contractor to lock out on Friday.
• Files fit in the consumer quota and you are not promising a client a shared company drive.

Pay for a suite when any of these is true: you bought the .ca and want mail on it; a second person needs a mailbox you can delete; you need a shared Drive or SharePoint the shop owns; you need Meet recording or Teams channels; an insurer or client asked for admin MFA and an offboarding story. The vault for that admin login is still a password manager, not the browser’s leftover Google Password Manager on a shared Chromebook.

A newsletter to 400 past customers is still email marketing software, with CASL on you. BCC-ing the list from Gmail is how shops get into trouble. A brochure WordPress site is still hosting, not OneDrive. Opening the Admin centre on hotel Wi-Fi is still a VPN problem.

A practical pick

1. One person, no custom domain, no staff: stay on free Gmail or Outlook.com. Do not buy a suite to send newsletters.
2. Custom domain, Chromebook or Docs-first, need a mailbox you can revoke: Workspace Business Starter (CAD $9.20/user/month on the one-year card, or $11 flexible).
3. Same shop, but you record client calls or blew 30 GB: Workspace Business Standard (CAD $18.40 one-year / $22 flexible).
4. Windows PCs, .docx every day, Outlook already installed: Microsoft 365 Business Standard (CAD $19.00/user/month paid yearly on the 6 September 2026 security card, plus tax).
5. Need the custom domain and web Office only — no desktop apps: Microsoft 365 Business Basic (CAD $9.50/user/month paid yearly on the SharePoint compare card, plus tax).
6. Already paying Zoom and do not want Teams: the no-Teams Basic or Standard card. Confirm the live CAD widget.
7. Someone promised you “data in Canada”: read the Workspace picker (US / EU / no preference) or the Microsoft Data location card. Buy ADR only if that card is the actual requirement — then verify Current vs Committed Geography.
