Best calendar apps for Canadian small businesses

Free Google, Outlook.com, and Apple calendars cover staff invites. Client booking links are Calendly (USD + GST/HST), Google’s one Starter page, or Microsoft Bookings on a 365 CAD seat. A calendar is not a till.

A Smithville shop does not need a second brain for Tuesday. It needs a grid that shows the right hour in Ontario and B.C., an invite a client can accept, and an honest CAD or USD sticker if you add a booking link. US “best Calendly alternative 2026” lists skip the part that changes the bill: GST/HST on the SaaS add-on, and the fact that Workspace or Microsoft 365 may already include the calendar.

This comparison is four paths shops actually open: Google Calendar (free, or Workspace CAD), Outlook Calendar / Microsoft 365 (Outlook.com or a 365 CAD seat, plus Bookings), Apple Calendar (iCloud), and Calendly (USD booking link that writes into those calendars). Published software price
Apple Calendar ships with iPhone, iPad, and Mac. iCloud calendars use the same 5 GB free iCloud storage as photos and backups (apple.com/ca/icloud/). Paid iCloud+ is extra storage, not a Calendar SKU. iCloud+: iCloud+ on the Canada page: $1.29/month for 50 GB; $3.99/month for 200 GB; $12.99/month for 2 TB; $39.99/month for 6 TB; $79.99/month for 12 TB. Every paid plan includes Private Relay, Hide My Email, custom email domain, Apple Invites, and Family Sharing with up to five other people.

Client booking link
Official Calendar User Guide: share iCloud calendars. Participants need an Apple Account with Calendar turned on in iCloud. That is a shared family or staff calendar, not a public “book a slot” page.
Time zones
Official: turn on time zone support in Calendar settings (Mac) or Formats & Time Zone on iCloud.com. Events can use another zone; invitees see their local time. Time zone support must be on per device.
When free is enough
Apple-only staff. Not a Windows client portal and not a public book-a-slot.

Published software price
Free $0 — one event type, one calendar connection. Standard US$10/seat/month billed yearly (about US$12 on monthly display; page says save 17%). Teams US$16/seat/month billed yearly.
Currency honesty
Calendly’s public pricing is USD per seat. Canadian subscribers are charged applicable GST/HST/PST/QST on the software invoice (Calendly help docs). That is tax on the SaaS, not tax you charge your clients.
Client booking link
A public event type that writes into Google, Outlook, or Apple. Payments/deposits on Standard+ (Stripe / PayPal). Not Interac.
Time zones
The booking page is the product. Confirm the event lands in the connected calendar’s zone — then read the booking guide for deposits.

Free: one event type, one calendar. Standard when you need more event types or deposits.

Google Calendar — free grid, one booking page, CAD on Workspace

Teams US$16/seat/month billed yearly. Enterprise starts at US$15,000/year, billed in USD only, 50-seat floor. Payments, deposits, payment links, packages, and invoices listed on Standard and up (Stripe / PayPal) Calendar booking — not an Interac till. Do not treat Calendly as card-present Interac. Calendly’s public pricing is USD per seat. Canadian subscribers are charged applicable GST/HST/PST/QST on the software invoice (Calendly help docs). When the suite already covers the calendar

  • You pay Workspace: Calendar is included. One booking page on Starter; multiple schedules and Stripe on Standard.
  • You pay Microsoft 365: Outlook is the grid. Bookings is the official client page on the listed SKUs.
  • You are Apple-only at home and Windows at the shop: Calendar on the phone, Outlook or Google for the client.

When a free calendar is enough

  • Staff huddles and a client invite: free Google Calendar or Outlook.com.
  • One public “book 20 minutes”: Google’s single page (personal or Starter) or Calendly Free (one event type).
  • Apple-only household, no Windows clients: Apple Calendar.
  • Deposits, many event types, or a salon/clinic widget: online booking, not another personal calendar.
  • No-show texts: appointment reminders.

A practical pick

  1. Already on Workspace: stay on Google Calendar. One booking page on Starter. Standard if you need a second schedule or Stripe. Do not buy Calendly for the same hold.
  2. Already on Microsoft 365: Outlook Calendar. Turn on Bookings before you buy Calendly.
  3. Mac-only sole prop, no public booking: Apple Calendar. iCloud+ if the 5 GB is gone.
  4. Need a branded multi-event link and you accept USD: Calendly Standard at US$10/seat/month yearly. Confirm GST/HST on the invoice.
