FreshBooks vs QuickBooks vs Xero for Canada: GST/HST, payroll, CRA
A Canada-only head-to-head table: tax reports, payroll reality, user limits, and regular CAD prices.

These three names show up in every Canadian “what should I use?” thread. They are not interchangeable. FreshBooks is an invoicing product that grew accounting features. QuickBooks Online Canada is the bookkeeper-standard ledger with a first-party payroll add-on. Xero is a cloud ledger with unlimited users and Canadian GST/HST reports, with payroll sitting in the app store.
This is a desk comparison of public Canadian pages — not a timed close I ran in a practice file. Checked against public vendor and CRA pages, 29 August 2026. GST/HST in real use
Ontario HST is 13%. That is a CRA rate, not a software setting you should invent. All three tools let you attach a 13% rate to an invoice line. The work is place of supply (a client in Calgary is not automatically 13%) and clean reports for the GST/HST return.
FreshBooks: create the tax, apply it, run the sales-tax report, type the numbers into CRA My Business Account. Xero: similar — tax rates and GST reports, you file. QuickBooks Online Canada: the Canadian build is designed around GST/HST codes; some businesses use Intuit’s filing features. I am not going to claim a specific “one-click CRA file” for every QBO plan because that behaviour is plan- and year-specific. Check Intuit’s current Canadian GST article for your subscription.

Payroll, without blurring products
If you have employees or you pay yourself through a corporation, payroll is the decision that should lead the ledger choice.
- QuickBooks. Canadian payroll is sold as an add-on to QBO (Workforce / Payroll branding has been shifting). It is built to calculate Canadian source deductions. Public CAD base + per-employee stickers were not clearly listed on the payroll pricing page we retrieved — treat third-party $30/$55/$80 figures as unverified until you see them on Intuit.ca.
- FreshBooks. PaymentEvolution. No public CAD menu price. Fine if you only need the occasional contractor invoice; a poor plan if you have four staff next month.
- Xero. Use a Canadian payroll app. Wagepoint is the common pairing and is mentioned here as a market product, not as a NorthOffice affiliate offer.

Who should pick which
Pick FreshBooks if you sell time and invoices, you want clients to pay a card or PAD on the invoice, and you do not need inventory. Lite is only for a tiny client list.
Pick QuickBooks Online Canada if your accountant already has a QBO firm file, you expect payroll this year, or you need inventory/projects on Plus.
Pick Xero if several people need login without per-seat fees, you like the reconciliation workflow, and you are willing to add a payroll app.
Switching cost
Moving banks feeds and opening balances is the painful part, not the logo on the login. If you already have a year of QBO, “Xero is nicer” is not a reason by itself. If you are on spreadsheets, start with the tool your year-end person will open.
