Best word processors for Canadian small businesses

A Smithville shop does not need a publishing house. It needs a letter a client can open, track-changes a bookkeeper will actually use, and an honest CAD or USD sticker if you pay for a seat. US “best Word alternative 2026” lists skip the part that changes the bill: GST/HST on Workspace or Microsoft 365, and the fact that free Docs or Pages may already be enough.

This comparison is four paths shops actually open: Microsoft Word / Microsoft 365 (free web, or a CAD seat), Google Docs ($0 personal, or Workspace CAD), Apple Pages (free on Apple devices), and LibreOffice Writer (free desktop, no SaaS line). Microsoft Word / 365 — free web, CAD seat for desktop

Official microsoft.com/en-ca Microsoft 365 for the web: Word for the web is free with a Microsoft account. Files must be saved in and shared from OneDrive. The same page lists 5 GB of cloud storage and web/mobile Word, Excel, and PowerPoint. Already on Microsoft 365: do not buy another writer for the same letter. Basic is enough for a shared web doc. Google Docs — free personal, CAD Workspace suite

Official workspace.google.com/products/docs/ FAQ: anyone with a Google Account can create in Docs. Gemini in Docs and Meet-in-Docs are Workspace / add-on features — not the $0 personal letter. Apple Pages — free on the Mac, Word round-trip, iCloud share

Official apple.com/ca/pages/: Pages “comes included with most Apple devices.” There is no Pages CAD software card. Real-time collaboration is listed for Mac, iPad, iPhone, or a PC. Official Canada page: share and edit in real time; edits save automatically. Track changes, highlights, and threaded conversations. iCloud.com and Box are the official PC paths. Official Canada page: import and edit Microsoft Word documents; save Pages files as Word. Compatibility is not a promise every style, field, or macro survives.

Pages on Mac, iPhone, and iPad is a local app. iCloud keeps copies in sync when you are online. The 5 GB free iCloud allowance is storage, not a Pages SKU. Mixed Windows/Mac shops should live in Word or Docs, then export .docx for the client. Pages is a beautiful working file. It is not the Windows default. Mail merge from Numbers is still not a GST/HST invoice.

LibreOffice Writer — free desktop, one editor at a time

Writer’s native format is OpenDocument Text (.odt). Microsoft Word (.docx) and PDF open and save from the same app. Confirm a round-trip before you send a client a style-heavy letter. Official LibreOffice collaboration help: in Writer, only one user at a time can open a document for writing. File locking applies. Simultaneous write-sharing is a Calc feature, not Writer. Desktop app. Works without an account and without a monthly seat. Offline is the default. Use Writer when the shop wants Word-class desktop work without a 365 seat — a shop-floor Windows PC, a Linux box, or a file that must open after the Wi-Fi dies. It is not a browser room and not a CAD subscription. Calc lives on spreadsheet software for Canadian small businesses.

When the suite already covers the letter

• You pay Workspace: Docs is included. Do not buy Word for the same policy.
• You pay Microsoft 365: Word is included. Web/mobile on Basic; desktop on Standard and Premium.
• You are on free Gmail or Outlook.com: personal Docs or Word for the web is still $0. Buy a suite for the mailbox and the domain, not for one letter.
• Seat math: Google Workspace vs Microsoft 365 in Canada.

When free Docs or Pages are enough

• A client letter and a share link: personal Google Docs.
• Apple-only household, same job: Pages. Save as Word before you email a Windows lawyer.
• Already in Outlook.com: Word for the web and 5 GB OneDrive.
• Offline Windows and no monthly seat: LibreOffice Writer.
• Mail merge, citations, or a file the browser will not edit: Microsoft 365 Business Standard (desktop Word).
• The “letter” is really a quote tab: spreadsheet software for Canadian small businesses.
• The “letter” is really a pitch deck: presentation software for Canadian small businesses.
• The letter is done and you need paper: printers for Canadian small businesses. A Word seat does not replace a mono laser.

A practical pick

1. Already on Workspace: stay on Google Docs. Import .docx if a client sends one.
2. Already on Microsoft 365: stay on Word. Basic for the browser; Standard if you need mail merge or the desktop app.
3. Mac-only sole prop, Windows client once a quarter: Pages, then Save as Word.
4. Offline Windows or Linux and you do not want a seat: LibreOffice Writer. Confirm the .docx round-trip.
5. No suite yet, mixed Windows clients: personal Google Docs at $0, or Word for the web. Buy Workspace or 365 when you need the domain, not the letter.
6. Someone has to sign it: e-signature software for Canadian small businesses. A comment bubble is not an envelope.
