Best cloud storage for Canadian small businesses

A Smithville shop does not need an enterprise archive RFP. It needs a folder the bookkeeper can open, a link a client can download, and an honest CAD or USD sticker. US “best cloud storage 2026” lists skip the part that changes the bill: GST/HST on SaaS, free-tier ceilings, and the fact that Google Workspace or Microsoft 365 may already include the drive.

This comparison is five options with usable public cards: Dropbox (unlabelled dollars; CAD is a supported checkout currency), Google Drive / Google One plus Google Workspace CAD, Microsoft OneDrive / Microsoft 365 CAD, iCloud+ (Apple Canada cards), and Sync.com (Canadian company; USD or CAD). Buy Dropbox when clients already live in Dropbox links, or when you want password-protected branded shares and you are not already paying Workspace Standard or Microsoft 365 for the same 1–3 TB. Do not buy Plus because a US list converted $9.99 into loonies.

Google Drive — 15 GB free, paid shop storage is Workspace CAD

Every Google Account includes 15 GB across Drive, Gmail, and Photos on the official Google One plans page. Canadian billing address: Google calculates and charges tax from that address (GST, HST, PST, QST) unless you claim an exemption with a tax ID. You are contracting with Google LLC. Sync.com — Canadian company, USD or CAD, residency is a vendor claim

Official sync.com/canadian-cloud-storage/: Sync markets Canadian data residency (“always stored right here in Canada”), CAD pricing, and “100% PIPEDA compliant.” Offices and data centres are claimed in Canada (Toronto on the GDPR policy). That is the vendor’s claim — not legal advice and not a substitute for how you handle client personal information. Buy Sync when the requirement is “files in Canada” and end-to-end encryption, and you are willing to confirm CAD vs USD at checkout (turn the VPN off first — official help says a tunnel can flip the currency). When Workspace or Microsoft 365 already covers the drive

• You pay Workspace Business Standard or Plus: 2 TB or 5 TB pooled Drive is on that CAD seat. Google One on the same account is usually a second bill for photos, not a second shop root.
• You pay Workspace Starter: 30 GB pooled fills up. Upgrade the suite before you buy Dropbox Plus for the same PDFs.
• You pay Microsoft 365 Business Basic, Standard, or Premium: 1 TB OneDrive per user is in the suite. Put the team library in SharePoint.
• Seat math, GST on the suite, and data-region honesty: Google Workspace vs Microsoft 365 in Canada.

When a free tier is enough

• A few quotes and a client PDF link: Dropbox Basic (2 GB) or Sync free (5 GB).
• Gmail plus a handful of Docs: the 15 GB Google Account. The day Photos and the inbox share that quota, you are buying Google One or Workspace.
• One Windows PC and a couple of Word files: free 5 GB OneDrive. The day the desktop backup starts, you are on Microsoft 365 Basic (100 GB) or a Business seat.
• One iPhone backup: free 5 GB iCloud dies first. That is an Apple backup purchase, not a reason to skip Workspace.

A practical pick

1. Already on Workspace Business Standard or Plus: stay on Drive. Shared drives for the shop folders. Do not buy Dropbox for the same PDFs.
2. Already on Microsoft 365 with OneDrive: stay there. SharePoint for the team library. Same rule.
3. Need a custom domain and the drive in one CAD seat: Google Workspace vs Microsoft 365 in Canada.
4. Clients already send Dropbox links, and you are not on a suite: Dropbox Plus or Standard. Confirm CAD vs USD from the billing address and GST/HST on the invoice.
5. Someone required “files in Canada” and end-to-end encryption: Sync.com. Confirm CAD at checkout. Treat the 50% teams banner as a dated promo. PIPEDA is still how you handle the files.
6. Apple-only household backups: iCloud+ 50 GB or 200 GB on the Canada page. Not the client portal.
7. The admin login for any of these belongs in a password manager. Opening that admin on café Wi-Fi is a VPN. The public site is still hosting. The second copy of the disk is online backup for Canadian small businesses.
